Manual to create a health fair

At this point of your health fair planning, you are ready to begin thinking about the logistics of the health fair. Once you have the confirmed number of agencies attending, the space available, and the  materials necessary, you can think of the physical layout of the health fair. To do this, you can visit the site and strategically organize the space available. During the first visit to the location, you can create a rough draft to discuss with collaborators or other team members. Creating a map of the health fair will help. Sharing this map with the agencies before the health fair will allow them to be prepared and know their location. This map will also become important when attendees arrive. A station card can also be created for various purposes. The station card can have a list of all the agencies present and works as a service record booklet. As participants receive services, especially health screenings, the agency provider can write the information collected (i.e., blood pressure, glucose level). The map [see attachment], along with a station card [see attachment], will make it easier for attendees to have a complete list of all the services and find exactly what they are looking for.  

H.O.P.E.+ example: During all of our health fairs, we begin the planning by having a list of coordination and services [see attachment] which is created from the registration forms gathered from the agencies. From this list, we develop a plan of where we will be placing the agencies, keeping in mind the space, privacy, and materials needed. Every healthcare will need a different set-up depending on various factors. For example, during our last health fair, the location of the fair was a mixture of both an inside and outside space. We ensured to have those agencies with health care services (eye exams, blood pressure, glucose testing, STIs testing, TB testing) in the inside portion of the health fair. The outside section was used for services that could serve multiple people at a time or did not require a certain level of one-on-one contact. However, for other health care, venues were fully outside, and we had to adapt the set-up to that specific location.
